WHR Summer Party

Whitbread Hotels & Restaurants (WHR) make up some of the biggest names in UK Hospitality, including Premier Inn, Beefeater, Table Table and Brewers Fayre. We have enjoyed a long and fruitful relationship with WHR, working with our regular client, event management specialists Roebuck Productions.

The Challenge

WHR invited over 4,000 delegates from across the business to Coventry for a very special Summer Party. The event took place on the Ricoh Arena football pitch and featured an awards show, celebrity guests, live music, food and fun.

This provided a fantastic challenge for the whole brightfive team. Our Digital Team were tasked with producing an application to help manage the delegate registration, accommodation and awards nominations. Whilst our Events Team took responsibility for design and execution of the event’s print and screen graphics. Both sides of the business worked together to ensure a seamless process from start to finish.

Our Process

Working closely with WHR and Roebuck, we enjoyed getting stuck into this ambitious project. We were involved from the outset - providing creative consultancy throughout the event design process, designing the event branding and visual identity.

A smooth digital experience

Our Digital Team we were able to quickly and efficiently develop a responsive, bespoke application.

The site was easily navigable and worked perfectly on phones, tablets and desktops. Important information was easy to find and the application handled award nominations and delegate registrations effortlessly.

The slick front end hid the complex back office processes which, among other things, helped the admins assign delegates to hotels and rooms, recorded the delegate preferences and sent confirmation emails to both users and admins.

Due to our close working relationship and responsive service, we were able to develop new solutions to problems as they arose, and even suggest new ways of structuring the application to remove the need for a large amount of manual data processing, thereby saving the client countless man hours (and inevitable human errors!).

From screen to stage

The Events Team’s work continued through planning to delivery; providing set design, signage and stationery and screen content, utilising stunning Keynote presentations with seamlessly integrated video.

Si, Sophie & Katie were excited to be onsite at this event; supporting speakers, accommodating last minute changes and operating graphics.

The Outcome

Thanks to our application, 4,000 delegates were successfully invited, registered and assigned to 33 different hotels, and over 200 awards nominations were recorded.

The event itself was a real success. The stunning live entertainment, awards ceremony, fun experiential elements and (if we say so ourselves) beautiful visuals saw a fantastic response from both client and delegates.
